At Leasehold Legal Services we try our best to avoid legalese and where possible write in a way that’s easily read and understood. This privacy and cookie policy for the lease-extension-solicitors.com and leaseholdlegal.org websites are no different.

When we refer to ‘we’ we mean Leasehold Legal Services Limited, and any parent companies. We are the ‘Data Controller’ for the personal data you provide to us for the purposes of data protection legislation.

What’s the purpose of this website?

The website has two main functions:

  1. to provide information and commentary on topics related to lease extensions and purchasing freeholds

  2. to help those interested in lease extensions or freehold purchases find out more about our services and get in touch with us.

Why do we collect your information and how do you use it?

We only collect your data if we have a lawful basis to do so, and the purposes that we rely on are:

  • consent (where you choose to provide it);

  • performance of our contract with you;

  • compliance with legal requirements; and

  • legitimate interests – which means the data we need to run our business – and which do not materially impact your rights, freedom or interest

We use it in the following ways:

  • to provide you with services you’ve purchased from us

  • to provide functionality on the site

  • to provide an estimate on the cost of your lease extension or freehold purchase

  • so we can contact you to discuss our services

  • to provide you with relevant marketing material relating to our services

  • to handle your comments, queries or complaints

  • for audit purposes

  • to help improve the website

What information do we collect and when?

  • your name and contact details, if you input them into the website or provide them when you contact us

  • any information you enter into forms or fields on our websites, such as an enquiry through our LiveChat system

  • details about your lease, if you input them into the website or provide them on the phone

  • some technical information such as your geographic location, IP, operating system, what device you are using and what pages of our site you’ve looked at

  • records of calls, emails or letters

  • financial information and information about your property, if you purchase services from us

Some of this data is considered ‘personal data’, and this means any information which can be used to identify you.

Do you collect data about me from others?

We might collect data about you from other people. For example, if you’re a freeholder we might have been given your name and address by a leaseholder wishing to make an enfranchisement claim.

We may also receive data from:

  • Third-parties who we work with on enfranchisement claims

  • The Land Registry

  • Any IT partners or payment providers we use

Where do you store our data?

We use a number of different third-party systems to store data, which include:

  • Tresorit

  • Google Workspace and Streak

  • Credas

  • Backblaze

  • UK Post Box

  • Google Analytics

  • Physical computers and back up systems

You’ll notice some of the above are likely to store data outside of the EEA. As of September 2022 all of them state that they are GDPR compliant.

Storage

We will process your data in a way that ensures it is appropriately, to ensure it is protected from unauthorised or unlawful processing and against accidental loss, destruction or damage. We use strong passwords and only allow employees who need to access your data access to it.

However, unfortunately, because of the nature of electronic storage, we cannot promise that your personal data or any other data you provide to us will always remain secure. If there is a security breach, we will do all that we can as soon as we can to stop the breach and minimise the loss of any data.

Do you use Cookies?

When you visit our website, we may collect information from you automatically through cookies or similar technology and some of the services above do too.

A cookie is a text file placed on your computer to collect information. You can find out more info at allaboutcookies.org.

Do you share our information?

We won’t sell or give your data away. We may however have to share it in the following cases:

  • to comply with legal obligations e.g. as part of anti-money laundering processes or to protect a third-parties rights, property or safety

  • With the relevant authorities if you provide us with inaccurate personal information and we suspect identify fraud

  • to the third-party organisations we use as part of our business operations (such as the services listed above). They’re not allowed to use it for other things.

  • to third party organisations who we use to deliver part of our services to you, including Homehold

  • any change of business structure – for example if we merge with another organisation

How long do you keep my data?

We keep data for as long as it is useful for the purposes we’ve covered in this document. If at any point you want us to remove your data or update it, please email privacy@leaseholdlegal.org and we’ll be pleased to oblige.

What are my rights?

You have a number of rights under applicable data protection legislation such as the right to have your data deleted and the right to find out what we know about you. You can read all about them on the ICO Website.

We’ll help you with any request for data, but your request is excessive or unfounded we might charge you a fee.

If you don’t agree on the terms above, please do not use our services because by instructing us you are accepting them. Please navigate away from the site because by using it you’re agreeing to them.
